Exporting data

Export the right Flux data for follow-up, reporting, or further analysis.

Overview

Exporting lets you take the information you need from Flux into a file that you can review, share securely, or continue working with. Each export gives you control over the relevant selection before you download the file.

Flux offers three export workflows:

  • Data Explorer creates a detailed, filtered list of individual records from an available dataset, such as patients, treatment processes, appointments, or invoices.
  • Analysis in the new Analytics area exports the grouped result currently shown in the table, including its totals, breakdown, and segments.
  • Finance exports invoices or invoice lines with the date range, status, and columns you select.

All three workflows support CSV and Excel (.xlsx) files. Use the smallest selection that answers your question, especially when the data includes patient, care, or financial information.

Export data from Data Explorer

Use Data Explorer for a detailed list of individual records.

  1. Open Data Explorer from the side menu and select the required dataset.
  2. Set the filters for the records you need.
  3. Open the column settings and select the fields to include.
  4. Check the table to make sure the result is correct.
  5. Select Export and start the export in the export window.
  6. Wait for the file to appear under Previous exports, then download it.

Data Explorer creates a CSV file using the filters and columns that were active when you started the export. You can also download a CSV export as an Excel (.xlsx) file. An export can take a little time to prepare, particularly for a large list.

Export a result from Analysis

Use Analysis to export the summary that you have created from a dashboard card or an Analysis dataset.

  1. Open the relevant Analysis page.
  2. Set the measure, Split by, Segment by, and filters you need.
  3. Check the chart and the table, including the total row.
  4. Select Export in the page header.
  5. Choose Download as CSV or Download as Excel.

The file downloads immediately. It contains the grouped table currently shown in Analysis: the selected split, any segment columns, and the totals. Use Data Explorer if you need the individual records behind a total.

Export invoices or invoice lines from Finance

Use the Finance export for an invoice-focused file and set the period, invoice status, and fields to include.

  1. Open Finance from the side menu.
  2. Select Actions.
  3. Select Export invoices for one row per invoice, or Export invoice lines for the individual lines on invoices.
  4. Set the start and end dates, and select the invoice statuses to include.
  5. Select the columns you need.
  6. Choose CSV or Excel.
  7. Select Download.

The file downloads when Flux has prepared it. The export uses the choices in the export window, so check the date range, statuses, and columns there before downloading.

CSV or Excel?

Choose CSV when you want a compact file that can be imported into another system or tool. Choose Excel when you want to open the result in a spreadsheet and continue working with the columns and totals.

The data in either format reflects your current selection. Changing filters, columns, or the Analysis grouping after you start or download an export does not change that file.

Check before you export

Before downloading a file, take a moment to check:

  • the date range and other filters;
  • the selected columns in Data Explorer;
  • the measure, grouping, and segments in Analysis;
  • the date range, statuses, and columns in the Finance export window; and
  • whether everyone who will receive the file is authorised to see its contents.

Use a clear filename and store exports only in an approved location. Do not send patient, care, or financial data through an unsecured personal channel.

  • Why does my Data Explorer export take time?

    Flux prepares the detailed list as a file. Larger lists can take longer to generate. Keep the page open until the export is ready under Previous exports.

  • Why does my Analysis export not contain the individual records?

    Analysis exports the summary table on screen. Create a filtered export from Data Explorer to export detailed records.

  • What is the difference between exporting invoices and invoice lines?

    An invoice export contains the selected invoice information. An invoice-line export contains the individual lines on those invoices, such as the product code, quantity, price, tax rate, and total amount.

  • Why can’t I export data?

    Exporting is controlled by your Flux permissions. If you cannot see an export action, ask your Flux administrator to check your access.
