Data Explorer

Create detailed, filtered lists from Flux data and export them for further work.

Overview

Data Explorer helps you turn the information in Flux into practical, detailed lists. It brings the records from a selected part of your practice together in one place, so you can find what you need without checking records one by one.

Use it to review patient, treatment process, appointment, and financial data; check whether records are complete; prepare information for a colleague; or create a filtered file for further work. You decide which records and columns to include, so every list can match the question you need to answer.

With Data Explorer, you can:

  • choose the data set you want to work with;
  • filter records to focus on a specific group, period, location, or other available property;
  • select the columns that matter for your task;
  • review the matching records in Flux; and
  • export the current selection as a CSV or Excel (.xlsx) file.

This makes Data Explorer useful for both day-to-day checks and more structured administrative or reporting work.

Data Explorer

Open Data Explorer from the side menu. You will see the data sets available to your organisation. Depending on your permissions, these may include:

  • Patients
  • Treatment processes
  • Appointments
  • Invoices
  • Invoice lines
  • Log entries
  • Sent emails

The available data sets can differ between organisations and user roles. If you cannot see Data Explorer or a data set you expect to use, ask your Flux administrator to review your access.

Lists

Select a data set to open its list. Flux shows the matching records in a table.

Use the filters above the table to narrow the result. For example, you can select a period, location, practitioner, status, or another field that is available for that data set. Add only the filters you need: a focused list is easier to check and reduces the amount of sensitive information you handle.

When you use more than one filter, choose how Flux combines them:

  • All conditions shows only records that meet every selected filter.
  • Any condition shows records that meet at least one selected filter.

Use All conditions when you are looking for a precise group of records. Use Any condition when you are looking for alternatives, such as records from one location or another.

Columns

Open the columns control to show or hide fields in the table. Select only the information needed for your task. This keeps the list readable and helps prevent unnecessary information from being included in an export.

Flux remembers your selected columns and filters for each data set. Review them when you return to a list, especially before exporting.

Review results

Read the table to check whether your filters have returned the expected records. Use the pagination controls to move through longer lists.

Data Explorer is read-only. To change a patient, appointment, invoice, or another record, open that record in the relevant part of Flux.

Export a list

You can export the current list when you need to work with it outside Flux.

  1. Select the required data set.
  2. Set the filters and columns you want to include.
  3. Export.
  4. In the export window, select Start new export.
  5. Wait for the file to appear under Previous exports, then download it.

Flux creates a CSV file using the filters and columns that were active when you started the export. You can also download an Excel version of a CSV export when you need an .xlsx file.

Exports can take a little time to prepare. Keep the page open while Flux creates the file. If an export fails, check your filters and try again. If it continues to fail, contact your Flux administrator or support contact with the data set and the approximate time of the attempt.

When is the data updated?

Invoice data is updated in real time. Data about patients, appointments, invoice lines, and treatment processes is refreshed overnight. If you have just changed one of these records, it may not appear in Data Explorer until the next refresh.

Work safely with exported data

Data Explorer can include personal, clinical, operational, and financial information. Before you export, check that the selection is necessary and that the selected columns are appropriate. Store the file only in an approved location and share it only with people who are authorised to see it.

Frequently asked questions

Frequently asked questions for the Data Explorer.

  • Why is a record missing from my list?

    First check the filters and whether they are combined with All conditions or Any condition. If you recently changed a patient, appointment, invoice line, or treatment process, wait for the overnight refresh. Invoice changes are available in real time.

  • Why is a column missing from my export?

    Only the columns that are currently selected in the table are included. Select the column and start a new export.

  • Can I edit records in Data Explorer?

    No. Data Explorer is for viewing and exporting detailed lists. Open the relevant record elsewhere in Flux to make changes.

  • Why can’t I see Data Explorer or export data?

    Data Explorer and its export action are permission-based. Ask your Flux administrator to review your access.
